* Giving Prompt Response
First and initial point which we always consider is to give prompt response through mails and calls. Once we receive a mail, whether is is during day time or night time before 11PM, response will be given within 10 minutes.
*Make clients comfortable. Listen them calmly and gather their requirement properly. If guest looking for some particular hotels, we give packages accordingly.
*Another part is budget. Always try to understand the budget of the client and then make packages.
* Choosing Hotels
We always try to give hotels where we are comfortable and confident about the service. As a regular promoter, we will be having some kind of personal attachments with the staff and they will help us by providing best service and care to our guests. At any time we can request their help
In some cases, guest make request for particular hotel were we may not be a regular promoter. But still we always trying to make fruitful business association. There are plenty of hotels with whom we started doing bookings after we get reference from our clients
*Choosing the Vehicle
Good Vehicle with driver is the integral combination for the success of any tour package. Though we are sitting and ding operations from the office, it is not always happen that we meet all our guest. But driver and vehicle will be with the guest from starting untill drop. So we always provide experienced drivers who got enough knowledge about the package (route in between destinations, hotels, itinerary etc) Majority of our guests are from out of Kerala particularly form North India. So they request for drivers who can communicate in Hindi. We do have drivers who can handle English, Hindi, Tamil etc. While finalizing packages we note down these kind of special requirements and allot drivers accordingly.
* Provide best competitive price offers in the market
Nowadays package costs are very easy to compare. There are lots of online portals or resources to compare the prices and make sure that you have received best out of them.
Before finalizing always try to compare the hotels which used in the packages. You can use TripAdvisor for this
* Never try to change hotels after giving confirmation
We always following this. Once we give final confirmation to our guests, we never change hotels. Suppose if you are confirming 4 Nights Kerala Package from HKP Holidays / Munnat Tour Guide, we will first give you written confirmation mail with confirmation voucher for hotels / houseboat which you are going to stay while you are on tour.
A conformation voucher will be carrying information like hotel name, address, contact person's details, contact number, reservation details etc. So a guest can call the hotel directly and cross check whether their reservation is properly done or not. Obviously this will give a guest more confident on tour operator.
*No Hidden Charges At All
We never hide anything from the guest. We always give emails with clarity. From the very first mail itself guest will get a clear idea about the packages (Inclusions & Exclusions) We also give calls to clarify doubts if any.
Confirmation Phase
* Advance Payment Processing
Once we issue the confirmation vouchers, its time now to take advance payment from the guest. For clients/ guests they are getting best deals and have their confirmation vouchers in hand. Even he or she has the liberty to contact hotels directly and cross check their reservation status. At this point of time we are sure that the guest will be confident and happy to pay advance.
* Giving Payment Acknowledgement mail on time
Once a guest make the payment, we always give the acknowledgement as early as possible. They will be waiting for our reply after payments
On Tour Phase
*Make sure to take proper arrival details from the guest and give driver & vehicle details atleast one day before the arrival date
*Make sure driver and vehicle should report on time with name card in order to receive the guest. We always ask the driver to call us after pick up. That time we talk to the guest and this is the first and important thing we do in order to make them comfortable.
*While in tour, we used to call our guest and enquire about overall service and arrangements. Most of the guest will be expecting this from our end. During these calls we can understand how happy the guest are with our service. Also we can find out if any area need to be work out and can do it on time. Remember the proverb "A Stitch in Time Saves Nine"
* At last give a see-off call to our guest before dropping and they used to share their happiness during this time
